What physician specialities do you bill for?
Our expertise is in the Heart and Vascular specialties (Cardiology, Cardiac Surgery, Vascular Surgery), but we also currently do the billing for General Surgery, ENT, Allergy/Immunology,Neurology, Pain Management, Urology, and Gynecology.
How many years have you been in business?
Solutions4MD’s opened in the Fall of 1999. The owners and staff have prior experience in small and medium-sized practices as well as the complex academic practice environment covering all major physician specialties.
How big is your company?
We have 20 employees and provide our full billing services to 30 practices representing over 50 providers and 12 specialties. We have recently relocated to larger office space and upgraded our phone systems, hardware and software, all of which enables us to scale our resources to whatever needs your practice may have.
How do you charge for your services?
If we assume the billing and collections responsibility for your practice, we charge you a percentage of what is collected. We consider many factors in determing that rate, but it is directly related to the resources required to service your account.We also provide consulting services and price those by the hour or at a project rate.
Do you charge other fees in addition to your monthly billing & collections rate?
We would never have any surprise fees for you. At certain times it may be necessary to assess additional fees but you would be informed of those amounts in advance. For example, there are software licensing fees associated with practices that request remote access to our billing software. These licenses are expensive and we would need to discuss how the costs will be covered prior to executing a contract.
We are starting a new practice, what steps do you take to assist us with getting up and running?
We will handle all of the items listed on our “Packages and Pricing” page, but specifically, we will work quickly to get your providers enrolled and credentialed with all the major insurance plans, develop your fee schedule and encounter forms, train your staff on our billing software, and assist with any billing process flow issues.
What billing software do you use?
We use two billing software products, Allscripts Professional PM and AdvancedMD PM. We believe that these two products offer state-of-the-art features while enabling us to provide you with remote access either through remote desktop connectivity or cloud-based web access. In our initial discussions with you, we will determine which product meets your practice’s needs.
Can your software be networked with my office for viewing of billing data?
Yes, we can provide remote desktop connectivity or web-based connectivity. Additional fees may apply when multiple workstations need concurrent access to the software.
If I have remote access to your software, what technology requirements are necessary?
You will no longer need sophisticated, costly equipment such as servers and networking appliances. Basically, any newer Windows XP or Windows 7 computer will be adequate. You will also need high-speed internet service with a properly setup local area network (LAN). Optional items that are nice to have are printers, scanners, and a webcamera.
How long will it take for me to transition from my current billing system over to yours?
It usually takes 3 to 4 weeks for the paperwork necessary to establish your electronic transactions (claims, remittances, etc) to be processed by the clearinghouse and various payers, assuming your provider enrollment is already in place.
Can your staff do my billing and collections using my existing software, or do I have to convert to your software?
We are open to this option, but it depends on the software product. It is our belief that we can provide the best service to your practice using our software from Allscripts and AdvancedMD. We have gone to great lengths to select these products. In addition, we have spent many hours training and updating our staff on its use.
How often are claims and patient statements submitted for payment?
Claims are sent daily and sometimes several times a day as new charges are entered. Statements are sent weekly on a 28-day cycle. Due to how we charge for our services, it is in our best interest to process charges and get claims and statements out the door as quickly as possible.
Do you send claims electronically?
Yes, we send all primary, secondary, and tertiary claims electronically to all payers who accept electronic claims.
What kind of revenue percentages can I expect?
When you sign with us, we are confident that we will increase your bottom line. A more thorough review of your practice’s current processes is necessary before an estimate can be provided.
May I contact a current client as a reference?
Yes, our clients are happy to tell you about their experiences and answer your questions.
How soon can you get started once a contract is signed?
There have been many times where we were processing charges for a new client in one week. Once the contract is signed, we will begin requesting key information from your practice and compiling all the necessary paperwork and building your practice’s database. Please note, it usually takes 3-4 weeks for the EDI paperwork to be completed so that we can send claims electronically.
Do you educate the physicians and staff about accurate coding and coding updates?
Yes, we believe strongly in physician education regarding all aspects of the billing and collections process. We have several coding consultants on staff and they are available to address any coding scenarios that the practice may have.
Does your office provide consulting services without a full billing contract?
Yes, we can provide any of our services on a consulting basis. We can develop a proposal for you upon request outlining the services, the expected amount of time required, and the cost of those services.
